Role Overview

As a Receptionist, you will be the first point of contact for our Dortmund office, providing excellent customer service and administrative support. The ideal candidate should have strong communication skills, a welcoming demeanor, and the ability to multitask in a fast-paced environment.

What You Will Do

• Greet and welcome visitors in a courteous and professional manner.
• Answer, screen, and direct phone calls to appropriate personnel.
• Manage incoming and outgoing mail, packages, and deliveries.
• Maintain the reception area, ensuring it is tidy and presentable.
• Coordinate and manage relationships with 3rd party vendors (maintenance, cleaning etc.) scheduling maintenance, repairs, and service appointments, to ensure a clean, safe, and functional office environment.
• Invoice processing, keeping organized records of invoices, contracts, and other important documents.
• Monitor and order office supplies as needed, ensuring efficient use of resources and managing an office budget
• Identify and address issues promptly and effectively, ensuring minimal disruption to office operations.
• Perform other duties as assigned by management.
  
  

Who You Are

• Proven experience as a receptionist, front desk representative, or in a similar role.
• Excellent verbal and written communication skills.
• Knowledge of health, safety, and environmental regulations
• Strong organizational and multitasking abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment
• Fluent in German and have a good English level. Ony other language will be a plus.
